Is That My Cell Phone or Yours?

March 16th, 2010 by admin No comments »

I am slow to embrace technology! It takes me awhile to get my arms around gadgets and use them with any regularity. It took me some time to get to be best friends with my microwave, and I am still a little clumsy when using our video camera. My palm pilot is a back up to my desk calendar, instead of the other way around. And I made a new years resolution with my, almost 16 year old son, that I would keep my cell phone on when I am away from home. That has been the toughest resolution for me to keep, along with remembering my cell phone number!

I still don’t like cell phones. They keep making them smaller and they just don’t fit my face. There are times I feel I can’t talk and listen at the same time because the phone doesn’t reach from my lips to my ears! Then there is the itty-bitty keypad. No wonder people get into car accidents when they are trying to dial! What is more challenging is to try to dial it in the car, at night! With my manicured nails, it is a wonder I haven’t dialed Zambia by mistake!

There is part of me that gets jealous when watching people use cell phones. First I think they are so popular that others can’t wait to talk to them. Then I imagine all of those phone calls that are immediate business deals. The other person can’t wait till they get to the office to seal the deal. I know a woman who would get onto a plane with a headset on, the kind with the mouthpiece that curls in front of your mouth, and just keep talking as she was walking down the aisle in the plane. I always wondered whom she had to talk to so badly.

That leads me to people who use cell phones in stores. If the customer walks into a store and is already on their “cell”, how do you greet them? These customers definitely are “multi-tasking”! They can walk, talk, carry on a phone conversation, try on clothes and probably pay for them without missing a beat. But if you’re an employee, how do you interact with them, when they are already glued to their “cell”?

Here are some pointers to deal with customers on their cell phones.

1. Don’t try to compete with their conversation.

You are secondary in importance and it will only further confuse them if you try to ask them a question.

2. Try to make eye contact.

This will be tough when they are already mentally pre-occupied. As you are walking by them, smile and give them a little wave. This way you are helping them come back to reality. They have walked into your business for a reason.

3. Hang up please!

No one wants to listen to someone else’s phone conversation. Did you ever notice how loud some people are on cell phones? It is annoying for other customers and for employees. To encourage them to hang up, without saying such, I would try to physically be working

wherever they happen to be standing or browsing. Moving inventory, folding clothes, checking fitting rooms, talking to customers, anything to let them know they are in a place of business. I would even ask other employees questions right in the same vicinity. When they feel as though they are competing to hear, on those itty-bitty phones, they will probably opt for ending the call.

I believe cell phones have a place. I believe they are a necessary part of our daily lives. I also believe that some people lack common courtesy. How many times have you found yourself in a checkout line when the employee is on a personal call, or having a conversation with another employee and totally ignoring you? People don’t need a piece of phone equipment to miss what is going on around them. I have recently had people in my audiences get phone calls. Sometimes I will say to the whole group, “I told them not to call me at work!” That usually makes the person receiving the call end it very quickly! After all, all eyes and ears are now focused on them, not where I want the attention to be!

Good communication is a physical give and take. Building relationships with clients is a physical give and take. When one party is pre-occupied it makes it much more difficult to nurture the relationship. Sometimes we don’t realize we have tuned the other person out.

We need to be in the present. Excuse me, did you just hear what I just said? Oh, sorry, I didn’t notice you were busy.

Starting a Business? Why You Need to Know Technology

March 15th, 2010 by admin No comments »

Of all the fundamentals that entrepreneurs need to know to succeed, technology provides the most new opportunity and the most constant change. Computer literacy is not an option, it’s an absolute necessity. Every business needs a website in the same way every business needed to be listed in the Yellow Pages 25 years ago. The marketing opportunities on the world wide web must be understood and evaluated to ensure the best decisions for your venture. The technological tools and capabilities available to small business are expanding every day, and only those entrepreneurs savvy enough to keep up are going to survive and thrive in the new economy.

You Need a Computer

The ability to use a computer is pretty much a given these days, though there is the rare entrepreneur who is still uncomfortable with the idea. The advent of the internet makes most things much easier, from conducting industry and competitor research to keeping in touch with your customer base. Excellent accounting system and contact management software decrease the time spent on these non-core competencies while simultaneously making related data more accessible and useful than the old ledger books and rolodexes ever could. Email is the preferred form of communication for many, from vendors to customers, so current business owners need to be prepared.

Your Business Needs a Website

A website for your business is an absolute necessity. Whether a simple 3 to 5 page business card site or a full-blown ecommerce store, having a web presence is no longer a luxury, it’s a must. What you need depends on your industry and business model, but failing to represent your business online is likely to become a fatal mistake. However, simply posting a website is not enough. Doing so without performing the appropriate SEO (search engine optimization) is pointless. It is akin to placing a billboard on Mars — if nobody sees it, it might as well not exist. Effective SEO tactics are not particularly complicated, but they take some time and research to ensure you are making the best use of your time.

Get Involved with Social Networking

Social networking is the new frontier for marketing a business. It’s hard to say whether that will continue or if and when consumers will become immune to the constant barrage of messages, but for now it is essential to exploit the opportunities available on these social websites. The contacts you gather through your activity on social sites and from opt-in mailing lists from your own site provide excellent direct marketing opportunities. Email newsletters and promotions are extremely effective, and cost you only a bit of time and effort. Email blasts to your customer base keep your company in mind. Even if they don’t open all of them, they are repeatedly exposed to the business name, a psychologically important outcome!

Consider a Smart Phone

In addition to basic computer operations and internet opportunities, the newest technologies can help entrepreneurs stay organized and manage their time more effectively. Smart phones are not just for twenty-somethings – every entrepreneur should consider investing in one. They can be used to keep up with email and phone calls, sure, but they can also supply your accounting, inventory, employee schedule, and other obligations at your fingertips. They have internet access, GPS systems, cameras, and thousands of applications available to fulfill just about any need for entrepreneurs. They are a bit more expensive than a standard cell phone and much more than a landline, but if used effectively they are worth every penny in the time and stress they can relieve.

Use Technology to Your Benefit

No matter what type of business you are launching, the available technology will play an important role in the success of your venture. It is important for every entrepreneur to be more than familiar with the tools that are out there and how they can support and promote your business. The constantly changing face of technology notwithstanding, the success of small business is intricately tied to an entrepreneur’s ability to use what is available now and to stay abreast of the opportunities in technology as they come along.

Coaches – How to Get More Customers – Your Business Prevention Unit is in Full Operation

March 15th, 2010 by admin No comments »

How to get more coaching customers. And how to turn off those barriers that have been put up. Coaches everywhere have a bad habit of chasing off customers and they don’t even know they do it. Think you don’t do that? I’ll bet you’ve got a fully functional business prevention unit stopping customers dead. Frankly, I’ve found it in operation in 99% of all coach’s businesses. Coach, would you like to get LOTS more clients a lot more easily… read on I’ve seen it in operation, first hand, over and over. 100% of the Coaches I Called Saying “I’m Looking for a Coach” Had These Road Blocks in Place I reached out to 75 local coaches to bring them onto my radio program where they’d be exposed to thousands of potential customers, and get to strut their stuff.

Do you know how many called back? None! As a marketing coach, my first thought was, my message must have been wrong. I figured that it was me, not them. So I tried again, but left a voice mail on each of their phones, “I’m looking for a coach, give me a call.” Again, not one call back. What’s wrong with this picture? It’s so illogical that I’ll bet you are setting there right now saying, “Naw, not me, I don’t do that.” But you are, unless you are a very highly successful coach already. I extended that to the top 30 coaches found on Google. Same result, except there… about 1/2 didn’t provide enough contact information to contact them directly, and the other half didn’t call back or email back. It’s darned ridiculous. All coaches have their “Business Prevention Unit” going full tilt. If you think you don’t do this, think again. How easy do you make it to find your contact information, to reach you in some way? Look at it this way, there are three sides to you “getting the word out” to potential customers,

the first is “attraction” what you are doing to “pull them in” once they do see you, and how well that works. Just assume that how well that marketing message you pass around can be measured by the percentage of those you touch that actually call you. If 1 in 1,000 call you it isn’t working. 1 in 100, eh, it’s starting. 1 in 10 (and more) and you’ve got a client generating system.
the second is how many people do you reach out to touch with that client generating system… the more you touch the more customers you get. But also knowing how many you have to touch to get how many clients is critical. If you get in 1 new customer out of 10 touches, you only have to touch 10 people and you’ve got a client. Or if you reach 1 in 1,000, then it takes 1,000 touches, you’ve got a problem. Just adjust how many you touch to make this thing deliver as many customers as you want and lay back and rake in the customers and profits.
the third, however, is your business prevention unit… the barriers to customers getting to you– Whether the first two work well or not, if your business prevention unit is putting up barriers — it’s knocking those results back down. If no one can find a phone number, email, or any contact info on your site… still zip results. Whether it’s there or whether it’s just hard to find, it’s knocking all of that “attraction” results back down to zero.

Think you don’t do it? Think again. When I ask coaches why they don’t put a phone number on their website I hear excuses such as, “I don’t want to be bothered by people finding my phone number on line and calling me” or “I don’t want to be called at home.” My answer to that is “So, you don’t want customers, am I right?” The easier you make it to contact you the more clients you will have. Or, I’ll hear the same exacuse about emails “I don’t want to be bothered by junk emails, spam, or whatever.” If you don’t want business, why do you put up websites, and other marketing media? Either make them work at full tilt, or stop playing at running a coaching business. How do you think the top internet coaches get where they get?

It isn’t by not wanting to be seen. I assume that the more visible I am the more trash I get. Look at the Hollywood celebrities. Do they say, “I better not do that next movie, it would make me too visible and people would bother me at home.” No, they deal with it. I’ve gotten up to 500+ junk emails in a day, but with a simple spam software package 99% of them slide right off and I don’t even see them. Deal with it. Do you want a successful coaching business, and a few hassles that come with success, or would you rather avoid all of the hassles that come with running a successful and very profitable coaching business? Recently, I started a coaching community around the Kansas City area.

This is a group of coaches that want to put their heads together to share what works and what doesn’t. The more heads working on a problem the better. Results literally leap out of groups like that. I have LinkedIn notify me of any coach within 50 miles, and the same with a Google Alert. So, it’s rare that I don’t know of a new coach showing up. I attempt to invite those new coaches to the group. I say attempt, because fewer than 1 in 50 have contact information. All of these coaches have gone to the effort of signing up for LinkedIn, Twitter, Facebook, and others, yet they don’t provide easy contact information.

Their Business Prevention Unit is in full swing. Their armour is up, their barriers are up. Is yours? Place your phone number, your address, and your email address on your website. Please your email address and website on all fo the social media websites, Twitter, LinkedIn, Facebook, and others. As a marketing coach I tell my clients, marketing is nothing more than (the number of people who see you) X (conversion rate of what you say and how you say it) = number of calls and leads you get weekly. Notice the first part of that formula? It’s the number of people who see you times the conversion rate. If you aren’t getting out there not many see you, but if they do see you and they can’t “convert” or reach you whichever of these numbers is zero, any number times zero is still zero. So, stop putting up your “business prevention unit” barrier. Make it easy to reach you.

Don’t Go Cheap When Installing New Business Phones

March 14th, 2010 by admin No comments »

I recently replaced my business phone system to accommodate an increase in the volume of calls I was receiving. I own a car rental franchise and needed to have new lines and new phones installed to go along with the new customer service representative I needed to hire. By taking care of my customers and keeping my vehicles clean and available, I was able to build my business and force the closure of one of my two nearby competitors. The resulting influx of customers meant I needed to act fast in order to capitalize on my good fortune. Like most people would, I gave little thought to my phone system and just decided to go with the cheapest solution I could find.

I purchased a new system that I was told would handle my volume. At first, I was more than satisfied as everything was working great and I had no problems. Shortly after I put the new phone system in place, I reduced our rental rates in order to try and get as many customers to switch over to my company from my now defunct competition instead of to my one remaining competitor. Even though I was operating at a loss for two months, my strategy was successful and my business increased yet again. The problem was that the phone system I purchased was designed to only handle a small amount of lines, and I was already at full capacity. While it was an improvement over my first system, it had limitations that I hadn’t considered. I ended up having to replace it all over again, but this time I had the sense to go with a system that could grow with my business. Luckily, I was able to get some credit for returning the second phone system, which went toward the newest system.

Still, I lost money, and had I only been less concerned with the bottom line and more concerned with getting what I really needed, I would have been better off. When buying a phone system for your company, make sure you purchase one that you won’t outgrow if business starts booming. I wish someone had told me that before I made the mistake of trying to save a few bucks.

Does Your Business Need a Toll-Free 800 Number?

March 11th, 2010 by admin No comments »

Should your business have a toll free number for customers to make sales, service and billing inquirers? The industry began in the early 1970’s and today most customers expect you to have it. Providing a toll free line can bring in a number of benefits to your business.
From the customer standpoint, it opens an opportunity to inquire about your products or services at no expense. Not only does it show you are established and successful, but it also shows that you care about what is convenient for them. It creates a corporate image of your company in their mind. Customers expect you to give something back in return for their business.
Think of it this way. Have you ever purchased from a company that didn’t have a toll free number? Some companies may not benefit from a toll free number, such as those with business to business sales or companies with a limited local targeted market. In other cases, such as catalog sales, Internet stores or companies with a continuous demand for support will most definitely need it. A toll free number allows you to advertise a “local” number to anyone in the United States. It is human nature to be attracted to anything free and it entices the customer to act now.
When was the last time you heard a toll free number in a radio or TV commercial? Were you able to remember or write it down? Did the number spell out any words? Having it spell a particular word is called a vanity number. Vanity numbers can be crucial for any business as they are easier to remember and promote. One company spent millions to have 1-800-FLOWERS and it has affected their sales in a positive manner.
When considering activating a toll free number it is important to also look at the drawbacks. Besides the fact of creating an extra expense, you will receive more calls from customers that are not necessarily serious about your offerings. Since the customer has nothing to lose, they may be tempted to call even if they are not interested anytime soon. Toll free lines also give them the ability to inquire multiple companies at no expense, while increasing your chance of losing the sale.
Whether you are a home-based business or a large fortune 500 company, anyone can get a toll free number and utilize a pbx phone system.
If your company has less than 16 phone lines, then an excellent product to check out is called Talkswitch.com. It is a very affordable pbx hardware system and is what
Gotmerchant.com uses as well. It is fully loaded with features such as auto greetings, multiple extensions, on-hold music, different modes (closed & open), etc.
Number Search – ATT’s web site has a useful tool for searching toll free numbers on any available prefix (800, 888, 877 & 866). Take your time and find a good vanity number that is relevant to your line of business. Avoid using words that are hard to understand vocally, such as “swipe.” Asking a few friends or family members to repeat the number will be a good test.
Service Providers – doing a search on Google for “toll free number” or “800 number”, will come up with a number of service providers. Be careful when choosing one as you may run into a few flakey companies. Major carriers such as, ATT, SBC, Sprint and Verizon offer the service, but are normally higher for low usage clients. Other carriers that specialize in this line of product, such as Telcan, also provide a reliable service at an affordable price.
Tracking System – most providers offer an online management system that logs your call data in real-time among other features. One common feature is the ability for the provider to place a 1 or 0 in front of the caller’s phone number. You can use the call data to improve employee productivity and per call profitability.
Personalized Auto Greetings – for a personalized auto greeting, look into the pbx phone system previously mentioned. An
example of a such greeting would be, “Thank you for calling Gotmerchant.com, for sales press 1, billing
press 2 and so on.”
Live Rep – the toll free number can also be setup to go directly to your phone without any greetings. Having your customers bypass a list full of menu options before speaking to someone may have a positive affect.
Voice Mail – You can retrieve your messages by calling your toll free number or use an online account management system if one is available. The voice mail service provided by your local telephone company may also be used.
Number Portability – a portable toll free number belongs to you and not the carrier. You will have the ability to switch providers at anytime.
Incremental Billing – the long distance is billed in blocks of time and typically come in 6, 30 or 60-second billing increments. A shorter interval will result in lower fees and can be significant on a larger monthly volume. 6 second billing is the most popular choice.
Call to Ring Number – toll free numbers are pointed to any phone number of your choosing. One helpful feature among providers is the ability to instantly change this number.
Setup Charges – there is normally no setup fees associated with a new toll free number unless you are using a vanity number. Even then, there are some carriers that do not charge a fee for setting one up.
Interstate & State to State – when researching providers, make sure the rates you are quoted is for interstate (within your state) and state to state calls.
Residential or Business Line – not all carriers are able to provide service to a business using a residential line.
Shared-Use Numbers – some providers offer what they call a shared-use line and allows more than one person to use the same number by utilizing a pin number.

Time Management Tips That Can Mean Dramatic Growth in Your Business

March 8th, 2010 by admin No comments »

In my acquaintance the better botheration babyish business owners face is time administration – accepting ashore accomplishing banal tasks or putting out fires, instead of getting the CEO, the one who develops and accouterments the activity and uses their ability carrying the casework they are amorous about.

I am no drifter to this botheration and accept to plan harder to accumulate myself on clue and not get alone with all the opportunities and account that appear my way. But the adjustment is huge. I apperceive a amount of entrepreneurs who are awful artistic but ache from abridgement of focus. It’s important to be artistic but the downside is abridgement of focus and planning. Even if you don’t ache from this problem, our complete byte association has beneath all of our absorption spans to our detriment. We are declared to multi assignment all day continued and abstract hundreds of snippets of information, but that is not the best way to accomplish advance because anniversary time you are disconnected or about-face apparatus you lose drive and accept to backtrack.

I bethink if my babe was a babyish and I could never complete annihilation after the connected interruptions that are accustomed if you accept a adolescent child. This is to be accepted and all moms are acclimated to commutual tasks one babyish section at a time. But I accept to accept it was difficult because it took so abundant best to complete something than it would accept if I could accept kept my concentration. However, abounding humans plan like this even if they don’t charge to do so.

So actuality are some time administration tips to advice you change the way you use time so you can plan beneath and accomplish more.

One of the aboriginal things you charge to do to change this addiction is analyze those tasks which are mundane, repetitive and not money generating. Then you charge to admit the advice of others to do some of these time clarification tasks.

You may be wondering, “Who is traveling to do this getting and how will I pay them?” I’m traveling to accord you some absolutely abundant suggestions. It’s accurate that in the alpha you may accept to abrasion abounding hats, but you charge to accept a plan to “move up the ladder” to CEO as anon as possible. What is your time worth?
